Cindex Privacy Policy and Consent Guidance

 

Cindex is provided by the London Borough of Camden ("Camden"). Cindex is an online directory of services and organisations in Camden, and is available free to everyone, from members of the public to policy makers.

 

The Data Controller is the London Borough of Camden and we will collect information from you when you register with the Cindex website and when you provide content. As the Data Controller, Camden is responsible for taking care of the information that you give to us. There are laws in place to make sure that organisations handle data properly: the Data Protection Act 1998 (and the Data Protection Act 2018 when this becomes law) and the EU General Data Protection Regulation (which becomes law on 25 May 2018).  We’ve referred to these laws as "Data Protection Legislation" in the rest of this document.

Camden’s Data Protection Officer is called Andrew Maughan and he has overall responsibility for data protection in Camden. What is this privacy policy?

This privacy policy explains how Camden collects, uses and shares your information and the rights that you have over how we deal with it.

What information we will collect from you and how we collect it:

We collect two types of information for different purposes:

 

1. Private details: In order to add or update content on Cindex, we need you to complete a very brief registration form in order to set up an account where we ask for your name, telephone number, and your email address. You will be asked to provide a contact method such as email or telephone number so that staff who manage Cindex may contact you for the purposes of updating your Cindex record and your private contact details.  The contact details you provide for this purpose are private and not accessible to the public. We do not need you to provide your telephone number but it will help us to contact you to discuss your listing if necessary.  No personal data is displayed on your public Cindex record unless you have provided it for public display. You will be asked to create a password to allow you to access your account.

  1. 2.      Cindex Record:

When you upload content onto the website, we need you to provide brief details of your organisation, just enough for people to decide whether they want to contact you for further details. We also need at least one way for members of the public to contact you e.g. phone, email or postal address as Cindex is intended as a referral tool. It is your choice whether or not you provide personal details on the public page.

How will we use the information that you provide to us (what is the purpose?):

The Cindex Record information that you provide will be used for your public record on Camden’s Cindex online community information database. For example, we need your contact details in order to create a listing on the Cindex webpage. We need your Private Details such as email address or another way of contacting you so that we can contact you about your listing or account.  These Private Details will not appear on the public Cindex page unless you choose to do so.

Will we share data with anyone else?

We share your Private Details with two other teams in Camden Council:

The Council’s Local Offer service has access to the Cindex database and your Private Details. The Local Offer team may contact you to ask you for additional details so that your listing can be placed on the Local Offer database. The Local Offer database is required by law for the benefit of parents and carers of children and young people with disabilities.

The Council’s Tenant Participation Team also has access to Cindex in order to update details for tenant groups registered with them.

 

We also undertake general data matching or data sharing in certain areas for the prevention or detection of crime, you can find out more information on that here.

 

We will not transfer your Personal Data outside the EU/EEA.

 

The legal basis for processing your information and how we use it:

By registering with Cindex and providing a Cindex Record to appear online, you are consenting to Camden processing your Private Details for the purposes of administering your account and listing and your Cindex Record for the purposes of uploading your content onto the website. You will be reminded of this when you register your account.

 

You may withdraw your consent at any time by sending an email to: cindex@camden.gov.uk giving us the title of your record   If you withdraw your consent, we will delete your account and any listings that you have on Cindex. We aim to do this within 5 working days.

 

Retention period

We will keep your personal data until you tell us you no longer want us to keep it. We may contact you periodically to check that your details are up to date.

 

Your Data Subject Rights

Under data protection law, you have certain rights. These are:

  • the right to request a copy of the information we hold about you;
  • the right to ask us to rectify, erase or restrict processing of your data;
  • the right to ask for data portability;
  • the right to object to automated decision making; and
  • if we are relying on consent, you have the right to withdraw consent at any time.

Automated decision Making and Profiling.

 

We are not using automated Decision Making or profiling to process your Personal Data.

Cookies - Collecting information automatically

We collect statistics about your visit to our website. We use this information to track user activity which in turn helps us to improve the website. These statistics do not contain personal data and cannot be traced back to an individual. We use ‘cookies’ to collect this statistical information. However, the cookies themselves do not store personal information. You can view our cookies policy here.

The right to lodge a complaint with a supervisory authority:
